Project Description:

A Canadian business visa, also known as a "Business Visitor" visa, falls under the category of Temporary Resident Visas (TRVs) and is intended for foreigners who enter Canada for short-term international business activities but do not directly enter the Canadian labor market. Business visitors typically stay for a maximum of six months.

Permitted business activities include: meetings with Canadian companies, site visits, participation in exhibitions or trade shows, procuring Canadian products or services for foreign companies, receiving short-term product/service training (not exceeding 6 months) from the Canadian parent company, and providing after-sales support.

The key difference is that business visitors are not allowed to receive remuneration or actually work in Canada (such as selling to the public, long-term postings, etc.) and do not need to apply for a work visa in advance.

Eligibility & Requirements

Required qualifications for applicants:

Eligibility: The applicant's main business must operate outside of Canada and generate income and profit, and the salary must be mainly derived from outside Canada and not directly enter the Canadian labor market.

Required documents: Valid passport (valid for at least 6 months after return, with two consecutive blank visa pages), a recent (within the last 6 months) 2-inch color photo with a white background (35×45mm), employment or assignment letter, and a formal invitation letter from the Canadian side. (The assignment letter should include: applicant's position/specific purpose of business trip/duration of stay/who will bear the expenses, and bear an official seal.)

Proof of funds: Bank statements for the past 6 months, with a suggested balance of over 50,000 RMB to demonstrate stable income. If the trip is covered by the employer, a letter of verification from the employer is required.

Invitation Documents (Core): A copy of the valid business license and a business invitation letter provided by the Canadian partner, which must include the invitee's full name, dates and itinerary, description of the purpose of the visit, the name, contact person and telephone number of the inviting party, and the handwritten signature of the person in charge of the inviting party.

Itinerary and Supporting Documents: A detailed English itinerary (avoid vague terms like "market research"; specify the exact dates, activities, and host organizations); round-trip flight bookings with free cancellation; and hotel confirmations covering the entire stay. International travel insurance is not mandatory, but strongly recommended.

Basic entry requirements: good health and no criminal record; ability to pay for accommodation and return travel expenses; and the ability to convince the immigration officer that you will leave Canada after your visit.

⚠️ IRCC officially updated its Business Visitor Guidelines on March 19, 2026, requiring applicants to clearly demonstrate the international nature of the visit and key elements such as remuneration from overseas.

Application Process & Advice

1. Start early and allow ample processing time. The standard processing time for business visas is approximately 4-8 weeks, which may extend to 10 weeks during peak periods. It is recommended to start the process 3 months in advance and submit the application at least 8 weeks in advance to avoid peak seasons such as summer and holidays.
2. Carefully craft your invitation letter to avoid misunderstandings by the visa officer. The invitation letter is one of the important documents the visa officer uses to quantitatively assess your business activities. Ideally, the invitation letter should clearly include the following core information to effectively reduce the risk of visa refusal due to "unclear intent":
• Full name and passport number of the invitee;
• Specific visit dates and daily itinerary (e.g., "September 10th visit to XX company factory, September 11th closed-door meeting with XX Chamber of Commerce").
• Reception address, contact person and telephone number in Canada;
• The inviting company's name in both Chinese and English, and a brief description of its business;
• The person in charge must sign in their own handwriting (if an electronic signature is used, it should be accompanied by authentication).
• If visiting institutions and parks that are not open to the public (such as science parks, ports, and laboratories), it is recommended to attach a confirmation email from the other party and the meeting agenda to prove that you have permission to visit;
• It is strongly recommended that the invitation letter be printed on the letterhead of the Canadian company (university/institution).
3. All materials must be authentic and complete, avoiding suspicious large deposits. All Chinese materials must be accompanied by an English translation (professionally translated or notarized), uploaded as a single PDF (≤4MB) in the order listed on the IRCC website. Financial statements must demonstrate a "stable and continuous source of income" (such as salary, bonuses, etc.), and temporary large deposits are prohibited (such as suddenly depositing a large sum of money within two weeks before the application), otherwise the application is likely to be rejected.
4. Your answers during the visa interview (if applicable) or upon arrival must be precise and consistent: Even after obtaining a visa, you may still face scrutiny at the border. Border officials will carefully verify your answers against your application materials, asking questions such as "Who invited you?", "Where are you staying?", "Who will cover your expenses?", and "What are you here for?". Ensure that all documents and answers provided by you, the inviting party, and your sending organization are highly consistent, without any contradictions or ambiguities.
5. Schedule your biometrics appointment as early as possible: After receiving the Biometrics Instruction Letter (BIL), schedule an appointment as soon as possible and go to the nearest Visa Application Centre (VAC) to complete the fingerprinting and digital photo collection, which takes about 15 minutes. The fee is CAD 85.
6. Consider expedited service: If there is a genuine urgent business need (such as attending an upcoming international exhibition abroad or signing a key contract), you can submit an explanation of the emergency through formal channels and attach a letter of urging from the inviting party in Canada or a flight confirmation page to try to expedite the process.



Canadian business visa application process:

➡️ Phase 1: Preliminary Preparation (approximately 1-2 weeks)

Clearly state your travel purpose, log in to the Immigration, Refugees and Citizenship Canada (IRCC) website, register a GCKey account, or create an application through the IRCC Portal. After completing the online questionnaire, the system will generate a personalized list of required documents. Then prepare your passport, digital photo, proof of funds, itinerary, hotel reservations, flight reservations (cancellable free of charge), letter of assignment, invitation letter (must include core information such as the itinerary, and must be stamped with the official seals of both the applicant's home country and Canada), and a copy of your business license. Prepare both Chinese and English translations and scanned copies of all documents.

➡️ Phase Two: Online form completion and payment (approximately 1-3 days)

Complete and submit the following core forms online:

• IMM 5257: Temporary Resident Visit Application Form (to be completed online)
• IMM 5707: Family Information Form (Signature Required)
• IMM 5713: Education and Employment Details Sheet (Education and work experience must be continuous and without gaps)

After uploading the documents item by item according to the materials checklist, pay the application fee of CAD 100 + bioinformatics collection fee of CAD 85 (totaling approximately CAD 185) online. Visa/Mastercard and other credit cards are accepted.

➡️ Phase 3: Biometrics Collection (required by IRCC each time a new visa, permit, or permanent residency is issued)

After submission, you will usually receive a Biometrics Instruction Letter (BIL) within 24-48 hours. Carefully review the information on the letter. With this letter, you must complete fingerprinting and digital photography at the nearest Canadian Visa Application Centre (VAC) within the specified timeframe (usually 30 days), which takes approximately 15 minutes.

➡️ Phase 4: Waiting for review and supplementary materials (usually 4-8 weeks)

While waiting, IRCC may request supplementary materials (such as additional financial documents, medical reports, etc.). In this case, you should cooperate actively and complete the supplementary documentation within the specified timeframe. If it is urgent, you can try to expedite the process by submitting an explanation through official channels.

➡️ Phase 5: Approval and Labeling (1-2 weeks)

Once approved, you will receive a notification to affix the visa. The applicant should then submit their passport to the visa application center as instructed to complete the affixing process and retrieve it along with the passport. If refused, IRCC will send a refusal letter containing the reason. After carefully reading the letter and providing supplementary materials, you can reapply.

➡️ Phase Six: Entry Preparation

Before your trip, prepare your return flight ticket, hotel booking confirmation, proof of funds, confirmation email from your Canadian host, and complete visa and passport. Upon arrival at the border, you may be verbally questioned about your travel purpose, source of funds, and itinerary. Ensure that everything is completely consistent with your application materials and confirm your length of stay. If your plans change, prepare an explanation in advance and bring new certified documentation.

“"eTA Supplementary Notes"”

If you already hold a valid 10-year multiple-entry Canadian visa or a U.S. visa, you can apply for an eTA (Electronic Travel Authorization) online. The processing time is only a few minutes to 72 hours (costing CAD 7), and there is no need to apply for a TRV visa.

An eTA allows the holder to travel to Canada as a business visitor, but a letter of assignment, a Canadian invitation letter, sufficient funds, and return travel documents are still required for verification upon entry. An eTA does not replace a visa and is required before boarding and upon arrival.
